Who helps us run AccuMax

These are the companies that handle data on our behalf, what each one does, and what it sees.

Last updated: October 20, 2026

1. Our sub-processors

A sub-processor is an outside company that handles data for us while we provide the Services. We bind each one by written terms that protect the data as strongly as our own commitments, and we remain responsible for them. AI models come from the Microsoft Azure AI platform, so your clients' data is not handed to an outside model provider.

Microsoft Azure

What it does: Hosts the Services and stores your data. Runs the AI models, reads scanned documents, turns audio and video into text, sends email and text-message notifications through Azure Communication Services, and monitors performance.

Data it handles: All content you and your clients put into the Services, because Azure hosts it. Names, email addresses and phone numbers for notifications. Your data is never used to train models.

Microsoft Azure Application Insights

What it does: Counts visits to our websites, only after a visitor accepts in the cookie banner.

Data it handles: Pages visited, the page address (including campaign tags), browser and device type, and a random visitor ID. Nothing from inside the application.

Microsoft 365

What it does: Our business email, including the support mailbox and the mailbox that receives demo requests.

Data it handles: Contact details and messages you send us.

DocuSign

What it does: E-signature, and identity verification (knowledge-based authentication) when a firm turns it on for a signer.

Data it handles: Documents sent for signature, signers' names and email addresses, and the details used for identity checks.

Zoho Sign

What it does: E-signature.

Data it handles: Documents sent for signature and signers' names and email addresses.

SwirePay

What it does: Payment processing for payments made through the Services.

Data it handles: Payer name, contact details and payment details. We do not store full card numbers.

2. Services you choose to connect

AccuMax can connect to accounts that belong to your firm. These are not our sub-processors: data moves to and from them only when your firm connects them and on your firm's authority, and each service is governed by its own terms and privacy policy. You can disconnect them at any time.

  • Gmail and Outlook (email)
  • Google Meet and Microsoft Teams (meetings and calendar)
  • QuickBooks and Drake
  • Microsoft 365, SharePoint, OneDrive, Google Drive and Box (documents and storage)

3. Changes to this list

We give customers at least 30 days' notice before we add or replace a sub-processor, by email to the account administrator and by updating this page and its date. To ask a question or to object to a change, write to accumaxsupport@bfirst.ai.
